Support to Adeso’s Subsidiaries: 


Ensure that Adeso subsidiaries (Kuja, Skyview, and Durdur) have robust processes and policies to ensure smooth operations and compliance.
Assist in drafting business plans and creating strong financial frameworks that safeguard the subsidiaries’ financial health, supporting their long-term goal of becoming financially... independent.
Generate financial reports, prepare budgets, implement cost control methods, and conduct research on revenue models and financial strategies.
Collaborate with department heads and leadership teams in the development of products, pricing strategies, market development, and business expansion efforts.
Oversee the coordination and timely delivery of tasks across the subsidiaries.


Project Management Support:


Monitor project progress, ensuring timelines, milestones, and deliverables are met.
Collaborate with cross-functional teams within the subsidiaries to ensure smooth execution of project activities.

Administrative Functions:


Prepare content for strategic and leadership meetings, ensuring alignment with organizational goals.
Conduct budget and expense reviews related to travel and daily operations to optimize resource allocation.
Assist in the development of Standard Operating Procedures (SOPs) and policies for subsidiaries, particularly during growth and launch stages.
Foster strategic coordination with subsidiary team leaders and department heads to ensure alignment with overarching organizational goals.
Support the development and tracking of Objectives and Key Results (OKRs) and Key Performance Indicators (KPIs) for subsidiaries.
Contribute to the creation of business plans for early-stage and post-MVP (Minimum Viable Product) subsidiaries.
Provide pre- and post-travel administrative support, including ticket booking, visa arrangements, and per diem coordination.
Perform additional tasks and duties as required to ensure the effective functioning of the subsidiaries.


EDUCATION, SKILLS AND EXPERIENCE

Education & Experience:


Bachelor’s degree in business, Finance, Accounting or related field required.
Minimum of 5 years in a related sector or as a high-end Executive Assistant
Demonstrated knowledge of and experience working in social enterprises and the private sectors is required
Understanding of Non-profit or NGO finance is a PLUS
PMP Certification or 3 years defined Project Management experience and project completion is ESSENTIAL

PRIMARY RESPONSIBILITIES


Based in Nairobi, Kenya, the Short-Term Finance Officer will be a full-time member of the Adeso Finance team and will play a crucial role in supporting the finance affairs of Adeso and its subsidiaries and work closely with the Finance Manager with the following responsibilities:


Financial Management & Reporting:


Support in the preparation of accurate... financial records for the organization, ensuring timely and accurate preparation of financial statements, including income and expenditure reports, balance sheets, and cash flow statements.
Support in the preparation monthly, quarterly, and annual financial reports for management and key stakeholders, ensuring they are accurate, transparent, and in compliance with both internal policies and donor requirements.
Assist in the preparation of financial reports for donors, ensuring compliance with the specific requirements of each donor agreement and contract.


 Budgeting & Financial Planning:


Support the preparation of annual budgets and financial forecasts, ensuring alignment with organizational goals and donor expectations.
Regularly track and monitor budget performance, identifying variances and providing solutions to ensure projects and programs stay within budget.
Provide financial insights and analysis to program managers and leadership teams to support informed decision-making.


Cash Flow & Treasury Management:


Support in the management of the organization’s cash flow, ensuring adequate liquidity for day-to-day operations and program activities.
Reconcile bank accounts, monitor cash balances, and prepare cash flow forecasts.
Ensure timely and accurate processing of accounts payable and receivable, and manage relationships with suppliers and contractors to maintain smooth financial operations.


Ledger Reconciliation:


Ensure that all ledger accounts are reconciled regularly, verifying the accuracy and consistency of financial data.
Identify discrepancies or errors in the ledger and promptly resolve them to maintain accurate financial records.
Support the Finance Manager in reviewing and finalizing the monthly and year-end ledger reconciliations.


 Internal Controls & Compliance:


Ensure adherence to internal financial controls, policies, and procedures, safeguarding the organization’s assets and resources.
Collaborate with the Finance Manager to implement best practices in financial management and reporting.
Assist with the preparation of audits (internal and external), ensuring that the organization is in full compliance with relevant financial regulations, donor guidelines, and statutory requirements.


 Donor & External Reporting:


Support in the preparation of detailed financial reports for donors, ensuring transparency and compliance with donor-specific regulations and guidelines.
Track the use of restricted donor funds and ensure that all donor financial reports are submitted on time and in the required format.
Support the development of proposals and financial budgets for new funding opportunities.


Accounts Payable & Receivable:


Process and monitor the timely payment of invoices, vendor contracts, and any other outstanding financial obligations.
Support the invoicing and collection processes for the organization's receivables.
Ensure proper documentation for all financial transactions and that records are maintained for audit and compliance purposes.


Financial Systems & Capacity Building:


Support the maintenance and improvement of the organization’s financial management systems to ensure efficiency and accuracy.
Provide financial training and capacity-building support to staff across departments, ensuring that all employees understand financial processes and reporting standards.
Identify opportunities to streamline financial processes and introduce new tools or systems to enhance operational efficiency.


SKILLS AND QUALIFICATIONS


Undergraduate degree in a relevant subject.
Minimum 5 years’ experience in Finance and Administration in non-profit and private sector organizations.

POSITION SUMMARY


The Deputy Executive Director (DED – Partnerships & Advocacy) is a senior executive of Adeso, the non-Profit reporting to the Executive Director (ED) and responsible for strategic leadership, partnerships and advocacy at Adeso. The DED – Partnerships & Advocacy is instrumental in ensuring the seamless execution of Adeso’s overall strategy. SPECIFIC ROLES AND RESPONSIBILITIES


Reporting directly to the Executive Director of Adeso, the DED – Partnerships & Advocacy will provide effective leadership and implement and lead continuous quality improvement in Adeso. Their responsibilities span from overseeing strategic relationships and partnerships, contributing to long-term planning, while maintaining a focus on aligning Adeso’s strategic objectives with the organization’s partnerships and Advocacy activities and will perform the following responsibilities: 
Strategic Leadership
Working in partnership with the Executive Director, set and communicate a clear and compelling vision for Adeso in the long, medium and short-term. Link this vision to the brand and embody the brand in all communications and relationships. 
Working in partnership with the DED – Operations and Programs and the Executive Director, establish strategic priorities and convert these them into a multi-year strategic plan.
Working in partnership with the Executive Director and other members of the Senior Leadership Team as required, research and develop new product ideas and programs that could contribute to achieving Adeso’s vision.
Working in partnership with the Executive Director and other members of the Senior Leadership Team as required, use creative problem solving to address key strategic challenges and risks that could prevent Adeso achieving its vision.

Partnerships and Strategic Relationships
Working in partnership with the Executive Director, develop and maintain Adeso’s key strategic and funding relationships, and work with other Senior Leaders to ensure these translate into a pipeline of opportunities. 
Lead the process of identifying, cultivating, and managing new and on-going partnerships with individuals, organizations, and foundations that advance Adeso’s decolonization aims and represent Adeso at key convenings to speak on the fundamental decolonization goals. 
Develop and implement fundraising strategies that align with the mission and values of Adeso, and that are effective in generating the necessary funds to support the organisation’s activities. 
Lead in identifying potential donors and funding sources that are aligned with the Adeso's mission and values. 
Build and maintain strategic relationships with donors and funders ensuring compliance with fundraising guidelines.
Lead in organizing fundraising events to generate awareness and support of Adeso’s mission and activities and provide fundraising training and support to the Partnership team.
Advocacy and Policy
Oversee Adeso’s advocacy and communications function including working with Senior Leadership and building on previous efforts, to develop and implement Adeso’s advocacy strategy.
As part of our Advocacy and resource mobilization efforts, provide oversight over the planning and implementation of Adeso’s advocacy convenings, including representing Adeso during international convenings.
Provide economic and political analysis as needed to support Adeso’s thought leadership and lead projects such as the decolonization docuseries and ensure its successful completion.
Oversee the donor education work including developing curriculum and delivery of the material at key opportunities like the learning journey and content creation for Kuja Learn and Kuja Advise on e-learning courses and community of practice. 
Communications
Oversee all Adeso’s social media presence/content and communications outputs in support of Adeso’s strategic goals on various platforms. 
Manage all multimedia and design duties in relations to planning, creation, maintenance and analysis of digital content such as websites, podcasts, blogs, video production for Adeso’s internal and external communications platforms 
Program Quality and Learning
Lead in setting strategic goals and objectives for the programs’ unit and in the implementation of all programs to align with these goals and objectives.
Ensure that all program activities operate consistently and ethically within the mission and values of Adeso and in accordance with relevant donor rules and regulations.
Provide leadership and management to ensure the effective, quality and timely delivery of all Adeso’s programs and initiatives and oversee the recruitment of all Program staff.
Apply change, risk, and resource management principles for all Adeso projects.
Work in collaboration with program leads to create detailed implementation plans that include deadlines, milestones, processes, and risk mitigation protocols for the respective projects.
Lead in the implementation of learning and continuous quality improvement within Adeso programs focusing on continuous systems and process improvement.

The Storyteller will lead the conceptualization of the documentary series, acting as the main point of contact for storylines and the production of scripts for a reel and at least two episodes. Currently, the shooting is already ongoing but there is a need for someone creative to translate the content that largely covers political and economic issues into a compelling simple storyline.

ESSENTIAL DUTIES AND RESPONSIBILITIES
Executive Director Support

Serve as the ED’s administrative liaison to Adeso’s Senior Leadership, COO, Heads of Department and Programs Team.
Efficiently manage the ED's daily schedule and coordinate meetings across multiple time zones, both virtual and in-person. Ensure she is aware of her schedule 24 hours in advance, providing necessary information for thorough preparation.
Support the ED in arriving and concluding meetings on time, ready to adjust schedules as needed.
Work closely and effectively with the COO and her Chief of Staff to keep the ED well informed about upcoming commitments and responsibilities, following up appropriately to ensure that ED apprised and updated.
Collect receipts and prepare expense reports.
Arrange complex and detailed travel plans, itineraries, and agendas, and compile documents for travel-related meetings.
Coordinate activities, such as conferences, field visits, internally and externally organized workshops; and other tasks that facilitate the ED’s ability to effectively lead the organization.
When the ED chairs meetings: work with the Chief of Staff to prepare an agenda in advance; assist with and provide research/background information, content development, and creation of presentations, coordinate meetings and take meeting notes.

Board Management

Lead the planning and coordination of all aspects of quarterly board meetings, including tracking, monitoring, following the progress of action items, and producing accurate Board minutes at each meeting when in attendance.
Drafting the meeting agenda, establish the timetable, and preparation of board materials.
Manage effective contacts and relationships with Board Members, including arranging board member travel arrangements, expense reimbursements, and board meeting logistics, and acting as a first point of contact for Board Member queries.

External Communications and Other Responsibilities

Work with the COO and Chief of Staff to manage external contacts for the ED, proactively understanding who they are, which are the priority contacts and keeping track of periodic communication needed for priority contacts.
Work closely with the Chief of Staff to perform liaison services on behalf of Adeso and the ED to donors, Government Officials, and other relevant partners.
Review correspondence (mail and email) addressed to the ED. Take the appropriate follow-up actions as required in consultation with her Chief of Staff and maintaining high respect for confidentiality.
Abide by the policies and procedures of the organization and adhere to the organization’s compliance system and understand organizational policies and procedures necessary to ensure appropriate decision-making protocols are followed.

TO EXCEL IN THIS ROLE, YOU NEED TO:

Anticipate the ED’s needs and proactively bring together appropriate people and resources to support the executive office in addressing issues in collaboration with the Chief of Staff.

This includes coding of payment vouchers before making payment, and ensure an efficient, proper and transparent financial filing system of all documents relating to finance are maintained (e.g., monthly payment of bills, contracts, rent and local salaries).
Work closely with the Finance Manager to ensure all reconciliations are performed and posted on a timely basis. This includes cash and bank reconciliations as well as control accounts such as prepayment, accruals, advances, salary control accounts, PAYE Accounts etc.
Prepare and examine accounting records, financial statements, and other financial reports and ensure accuracy, completeness and conformance to reporting and procedural standards.
Plan for cash flow requirements for the project and submit updated cash forecast and monthly cash requests to the Finance Manager on a timely basis.
Process and make payments as provided in the approved budgets.
Ensure timely recovery of all advances including travel and mid-month advances and provide monthly update of any outstanding advances to the staff for liquidations.
Ensure proper procurement procedures are adhered to at all times, including maintaining of vendor contracts, lease agreements, and any other service contracts as may be required.
Ensure that proper authorization is obtained for all disbursements. Assess accuracy and completeness of documentation and conformity with reporting and procedural standards.
Assist in the orientation of new staff (Finance and non-finance staff).
Assist in the identification of best practices within and outside of Adeso and help in the documentation and implementation of such practices.
Help in assessing any system gaps and bottlenecks to improve the finance system.
Assist in the institutional and programme audits and where necessary liaise regularly with auditors (internal and external) and government agencies.
Undertake regular financial monitoring in the field/country sub-offices and ensure that staff adhere to Adeso and donor financial requirements, policies and procedures; including on matters of recruitment, procurement, allocations of expenses, compliance and reporting.
Perform systems audit of Adeso Country offices and ensure that all supporting documents, proposals, contracts and amendments with donors follow the internal procedures. Verify that financial reports are coherent and adhere to donor and Adeso standards before submission.
Assist in the drafting of annual financial statements as and when required.
Other finance tasks as required.

SKILLS AND QUALIFICATIONS

Undergraduate degree in a relevant subject.
Minimum 5 years’ management experience in Finance and Administration in non-profit and private sector organizations.
Demonstrable knowledge in the following areas: compliance, donor rules and regulations, project management, logistics (including asset management, office management) procurement (including tendering processes, procurement plans).
Excellent in both spoken and written English.
Excellent analytical skills.
Strong command of software applications, such as Microsoft Navison, Word processing, Excel, PowerPoint, etc.
Experience in writing, rolling out and institutionalizing policies and procedures.

SPECIFIC ROLES AND RESPONSIBILITIES
The main responsibilities of the Community Engagement Manager including:

Leading the development of the strategy for growing KujaLink member community with support from the team of Community Facilitators and engagement with the KujaLink leadership team
Overseeing community engagement facilitators whose main job is to source, recruit, onboard and support new... users from existing networks and partners as well as new partners
Engaging and retaining current community members
Learning from the member community to adjust and revise the strategy as the community grows and working with the platform development team to make adjustments to the platform.
Work with the KujaLink team to develop and implement the KujaLink online community engagement strategy - defining the approach, discussion and communication activities, and responsibilities of team members and platform users.
Work with community facilitators to recruit and welcome new members to the KujaLink platform - ensuring they understand and can make use of all the features including develop and update onboarding materials, including guide, graphics, and video(s).
Post as a brand ambassador and implement the strategy to develop the community including participating in discussions, finding new users and listening to the current ones.
Work with the team to develop and measure metrics to understand Community Growth and Evolution;
Understand the needs of users over time and develop strategies for retaining users;
Engage with the KujaLink development and user experience team to ensure user feedback is captured. Support the team in managing the platform User Support discussion forum.
Support development of internal community management processes and guide for future managers.

SKILLS AND QUALIFICATIONS

Degree, certificate, training or coursework in communications, journalism, public relations, marketing, business, or a related field
Significant and relevant years in the social sector (5+)
Demonstrated experience supporting online community platforms
Experience working remotely and coordinating activities across multiple time zones
Background in support-related field such as communications, PR, social media with the ability to interact with people online and understand how online trust works
Extremely strong written communication skills and ability to communicate ideas and concepts digitally. Ability to create content and work with others to create content.
Comfortable with using a very wide range of digital platforms (email, Slack, Twitter, Whatsapp, Zoom, Wordpress) and experience with a range of online community platforms (Facebook, Linkedin)
Digitally savvy and able to keep up with the activity on the platform
Flexible and adaptable with a high level of empathy and the ability to connect with users
Fluency in English required, competency in French, Arabic or Spanish desired
