Key responsibilities:


Provide administrative support to the team and form solid professional relationships with stakeholders and clients in public, private, and international spheres;
Promote a professional first point of contact between all key stakeholders;
Draft research centre meeting agenda, accurately capture meeting minutes and circulate for inputs timeously;
Coordinate and manage the CM’s diary effectively ensuring that his time is used effectively, and he is briefed appropriately regarding the agenda for meetings. This includes sourcing background information from previous meetings;
Follow up on actions emanating from meetings on behalf of the centre;
Coordinate and organise events such as workshops and strategy sessions; Learning/Smart Factory visits adhoc visits at Management level as and when needed;
Coordinate events and identify and arrange suitable meeting venues;
Coordinate both national and international travel arrangements of the research centre as and when required;
Arrange flights, cars and accommodation accordingly;
Ensure that the office can function effectively daily with required stationery, functional equipment, etc;
Manages the procurement of equipment and office suppliers according to office needs and policies and procedure;
Follow-up on purchase orders and payments for the Research Centre;
Prepare documentation with confidentiality sensitive and high-quality documentation, such as presentations; accurate reports; spreadsheets, tender documents, and general correspondence as required;
Screen incoming calls and correspondence; responds independently on behalf of the Research team in their absence and re-direct when necessary;
Maintain an effective and systematic electronic and manual filing system to ensure proper maintenance of records and easy retrieval of documents;
Establish and maintain an updated contact list;
SHEQ responsibilities where required;
Processing of timesheets for the Centre on a weekly basis;
Contract routing and management;
SHEQ - PPE handout and monitoring;
Manage vehicles, bookings, maintenance repairs etc.


Qualifications, skills, and experience:


National Diploma in Office Administration or advanced Certificate in Secretarial or Administration and or relevant NQF level 6 qualification with three years' experience as a group assistant/ secretary;
Excellent interpersonal, administrative and organisational skills;
Experience in e-Procure systems, travel arrangements and coordination, Microsoft Office, Human resources and financial systems and workflows
Have knowledge and skills to effectively utilise various software programs and systems relevant to the office environment (MS Word Suite) and is aware of current CSIR systems/processes;
Ability to always maintain the highest level of confidentiality;
Work within established systems, standards, and procedures;
A driver's license would be benefic
