Duties and responsibilities at this level will entail: - 


Coordinate and oversee administrative functions across assigned divisions or units at Kenya-AIST.
Ensure effective document management systems, including filing, retrieval, and confidentiality of records;
Manage office correspondence, including dispatch registers and communication tracking systems.
Support the preparation of departmental work plans, reports, minutes, briefs, and institutional records.
Organize and provide logistical support for internal and external meetings, events, and functions.
Monitor office operations and ensure availability of supplies, equipment, and other administrative resources.
Implement and enforce administrative policies, circulars, and service delivery guidelines across departments.
Promote compliance with government regulations, institutional standards, and operational procedures.
Support internal communication flow and inter-departmental coordination across the Institute.
Participate in institutional committees and task forces as assigned.
Support staff training, induction, and performance appraisal processes.
Any other duty that maybe assigned from time to time.


For appointment to this grade a candidate must have:


Served for a cumulative period of at least ten (10) years relevant work experience, two (2) of which must be post Master’s degree qualification work experience;
Master's Degree in a relevant field from a recognized institution;
Bachelor’s Degree in any of the following disciplines: Public/Business Administration, Human Resource Management, Political Science, Psychology, Sociology or any other relevant and equivalent qualifications from a recognized institution;
Proficiency in computer application skills, including Microsoft Office Suite, ERP systems, email and video conferencing tools, internet research, basic data management, and awareness of cybersecurity practices;
Membership to a relevant professional body is an added advantage;
Shown merit and ability as reflected in work performance and results;
Knowledge of data protection laws is an added advantage, and
Work experience in a higher education institution is an added advantage.
