MdM-F is an international solidarity association whose mission is to care for the most vulnerable populations in situations of crisis and exclusion throughout France and the world.
MdM currently works in more than 30 countries across all continents where it focuses on 5 priority areas: emergency and crisis, sexual and reproductive health, harm reduction, migrants and displaced populations (health rights), health and environment.
MdM-F has been operating in Nigeria since 2016 and has developed several projects. In Nigeria, MDM is currently implementing an emergency response program in Borno state. The program is implemented around the main components: improving access to primary health care, malnutrition treatment, gender-based violence survivors’ treatment and mental health and psychological support. MDM has its coordination office in Maiduguri and a sub office in Damboa. MDM is running three clinics in Maiduguri: Garba Buzu, Abbaganaram and El Miskin.
Médecins du Monde Nigeria is located at No 05, Waziri Lawan Street, off Damboa Road Maiduguri. In the context of its Humanitarian projects, MDM is putting several activities in place which aim to assist the population in Maiduguri and Damboa of Borno State.
Services to be provided.
In this context MDM is looking for travel agencies to deliver travel management services of the organization. The candidate firm is expected to provide a professional service, understand our travel regulations and take them into consideration when providing quotations. The travel agency will be responsible for obtaining tickets for commercial air transport for MDM staff members to any destination worldwide, negotiate and conclude on behalf and for the benefit of MDM- discount agreements with major air carriers.

The travel agency must:

Be accredited with International Air Travel Agency (IATA)
Make reservations, issue and deliver tickets for all commercial air transportation requested for domestic travels and international travels
Make bids and prepare appropriate itineraries and formal quotes within a reasonable timeframe based on the lowest fare and the most direct and convenient routing in accordance with entitlements described in the below mentioned Travel Policy extract (low cost, special fares, restricted fares, discount fares, and bulk fares for use whenever appropriate). In the event that required travel arrangement cannot be confirmed, notify the requestor of the problem and present alternative routings/quotations for consideration;
Provide at least three options for local and international destinations where possible. These offers should be free of charge;
Pre-book the suggested seats mentioned in the formal quotation for a specified duration. This will allow passengers to review the offer, and ensure the seat is still available upon confirmation of preferred route.
Accurately advise the requestor of ticketing deadlines and other relevant information every time reservations are made in order to avoid cancellations of bookings;
Promptly issue and forward all tickets in electronic format with detailed itineraries including carrier(s), flight numbers, departure and arrival times for each segment of the trip;
Inform traveler’s, upon booking confirmation, of flight/ticket restrictions, involuntary stop-over, hidden stops, and other inconveniences of the itinerary and provide required documentation for travels;
Handle complaints in a timely manner on behalf of MDM on flight problems, cancellations, delays etc;
Reconfirm and revalidate airline tickets, re-issue tickets which are returned as a result of changed routing or fare structures and printed itineraries;
Process duly authorized travel flight changes or cancellations as required;
Process immediately and report on refunds for unused tickets for fares, and credit them to MDM;
Provide regular travel services on each working day from 09:00am to 18:00pm.

The supplier must ensure below terms and conditions in quotation / Financial offer.

Detailed technical specifications as included within the request for quotation attached.
Quoted price for service charges must be inclusive of all Taxes.
The validity of the bid must be minimum 1 year from the date of offer
Payment will be made through Bank Transfer in favor of Agencies Bank account after successful delivery each service.
Agencies will not be entitled for any advance payment.
