JOB PURPOSE

To provide essential support in the daily operations of the college library by assisting in the organization, circulation, and maintenance of learning resources. The Library Assistant fosters a conducive learning environment by helping students and staff access information efficiently, promoting literacy and research skills, and ensuring the library remains a well-managed, welcoming space aligned with the institution’s academic goals.

 Key Responsibilities

R1. Library Operations Support


Assist in organizing, shelving, cataloguing, and classifying library materials.
Manage circulation services including lending, returning, and renewing of books.
Maintain order and cleanliness within the library space.


R2. User Assistance


Help students and staff locate and use library resources effectively.
Provide front-desk support and answer basic user queries.
Guide users in the use of digital resources and library equipment.


R3. Resource Handling & Maintenance


Support in updating inventory records of books, journals, and other materials.
Assist in labeling, covering, repairing, or withdrawing damaged or outdated materials.
Monitor book returns and follow up on overdue items.


R4. Library Promotions & Activities


Help organize library displays, events, and orientations.
Support outreach activities including newsletters or reading promotions.
Collect user feedback and relay it to the Librarian for service improvement.


R5. Documentation & Security


Keep accurate records of daily circulation and library usage.
Support the safe storage and handling of library books, equipment, and confidential documents.
Help ensure security and order in the library premises.

Perform any other duties as may be assigned by the management from time to time


KNOWLEDGE, SKILLS AND ABILITIES


(The knowledge, skills and abilities may be required through a combination of formal schooling, self-education and prior experience or on-the-job-training).


Level of Education


At least KCSE/ “O” Level or equivalent high school certificate mean grade of B-
Diploma in Library and Information Science or related field.


Specialized Training/Professional Qualifications


Basic knowledge of library systems and digital tools.


Competencies/Abilities/Skills Required


Good organizational and record-keeping skills.
Customer service orientation.
Basic ICT skills and familiarity with library software.
Ability to work collaboratively in a team.
Attention to detail and high sense of responsibility.


Relevant Job Experience


At least 1 year of experience in a library or academic institution (internship or volunteer experience may be considered).
