POSITION SUMMARY

This position is responsible for supporting the administrative operations at the Beacon Technical Training Institute. The incumbent will play a key role in ensuring smooth and efficient day-to-day operations of the assigned department. He/ She will provide comprehensive administrative, secretarial, and logistical support, maintain organized records, manage departmental communication, and create a professional and welcoming environment for visitors, staff, and students. This role requires excellent organizational skills, attention to detail, and the ability to multitask in a dynamic academic setting.

Key Responsibilities:


Serve as the first point of contact for visitors and clients, ensuring professional reception and assistance.
Provide administrative and secretarial support to departmental staff, including scheduling, correspondence, and document preparation.
Support procurement processes, manage office inventory, and ensure prudent use of supplies.
Assist students with general inquiries and document handling.
Organize and support departmental meetings and events.
Maintain accurate records, including financial and student-related data.
Handle incoming and outgoing communications professionally.


Qualifications & Experience:


Diploma in Business Administration, Front Office Operations, or Secretarial Studies.
At least 2 (two) years of experience in a similar administrative role, preferably within an academic or institutional setting.

Strong computer skills (MS Word, Excel, PowerPoint, QuickBooks, and desktop publishing).
Good typing and basic bookkeeping skills.
