Duties and Responsibilities
Administrative Responsibilities

Establish and maintain a proper filing system and archiving.
Ensure security of records and documents.
Keeping of correspondence and file movement.
Maintaining integrity and confidentiality of data.
Prepare import schedules and ensure overseas supplier bills are settled onduedate.
Allocation of consignment references for new orders /file opening .
Liaise with the banks on; Suppliers documents acceptance, Supplier remittance, annual renewal of facilities with the banks, LC applications, Cheque books request, Agency application/cancellation.
Liaise with Insurers on; All claims submissions, Marine Cover note applications, Motor insurance, Annual Bank endorsements.
Assist with the administration of staff medical benefits.
Ensure land rates and rents for all properties are paid on time.
Commercial vehicle inspection booking and ownership transfers for sold/purchased vehicles on NTSA’s and on Tims Platform. Accounts Responsibilities
Keep a register of all postdated cheques and release to accounts department for banking on due date.
Liaise with the accounts department for overseas supplier’s remittance.
Custodian of all cheque books and issue to accounts department when needed.
Custodian of Audited accounts.
Submission of company Annual returns. Logistics Responsibilities
Marine cover notes applications for consignments.
Copy documents received directly from the supplier.

Sales Responsibilities

Assist the sales team with the application, preparation & submission of tender documents/RFQS. Operations Responsibilities
Facilitate Commercial Vehicle Inspection at NTSA

Requirements:

Bachelor’s degree in Business Management or other related fields.
3 years above- experience in administration is AMUST.
Excellent written, verbal communication and interpersonal skills.
Demonstrate Strong leadership skills.
A positive attitude. Excellent time management skills.
A person of high integrity.
