Duties and Responsibilities

Processing of underwriting transactions such as new businesses, renewals and endorsements.
Processing and issuance of motor certificates, valuation letters and yellow cards.
Underwriting and processing work allocated from immediate supervisor and ensuring all debits are put through in the correct month to facilitate premium collection.
Assisting clients in... identifying our products that suits their needs in line with insurance principles.
Prepare and issue cancellation notices in case of non-payment of premium for specified covers
Preparation and issuance of Renewal notices sixty dates before renewal date
Assist in claims handling.
Assist in preparation and issuing quotations.
Attending to all telephone enquiries by our clients and brokers and giving clarifications and guidance where necessary.
Liaising with other departments on matters related to work at my disposal and any other enquiries that point towards a better working environment.
Liaising with intermediaries’ brokers and agents to solve any problems they may have and ensure efficient service delivery.
Assist in preparing loss ratios and risk reviews.
Any other duties that may be allocated from time to time.

Key Responsibilities

Oversee receiving, verification and confirmation of new files transferred to the registry from users
Oversee indexing new files into the specific department/product inventory.
Shelving new and used files into the correct locations
Collection and/or receiving used files from various departments and verification against lists provided for transfer.
Sorting used... (file-always) and new files for entry into the system and re-filing.
Receiving client requests directly from users or from the registry officer in charge of requests.
Retrieval of files requested by the staff members (clients) in respective departments within the set timelines.
Tracing and keeping track of policy files -to prevent file misplacement.
Oversee Indexing lapsed/closed files for transfer to the archives.
Oversee Consolidating active policy files – to create space for new policy files.
Liaise with the archives agency service provider to ensure proper effectiveness and efficiency of the services provided.
Assist in the Document Digitization Process.
Oversee document/record disposal processes.

QUALIFICATIONS, EXPERIENCE AND COMPETENCIES

Bachelor’s degree in Information Sciences, Library Science or Records Management
At least 5 years of experience working in a busy registry.
Electronic record Management training lasting not less than 2 weeks.
Supervisory training lasting not less than 2 weeks.
