The Purpose


Under the supervision of the Yola Head of Office, the Administrative Assistant provides support to the Yola Office in administrative and other accounting and financial tasks and responsibilities. 
The Administrative Assistant is accountable for the physical processing of cash transactions and the integrity of physical cash balances in a (sub-)delegation, strictly respecting and... applying the ICRC's rules on financial management, provides administrative support.


Your Role


Execute all financial and administrative duties as assigned by the head of Office or Finance and Administration Manager.
Ensure that financial supporting documents are produced according to ICRC financial rules (Suppliers information and stamp, logistic support documents, approvals / signature, accuracy, completeness, compliance etc.).
Prepare and send accounting documents for monthly closing to the Accountant in Mubi Sub-delegation (SD).
Prepares invoices for payment (by cash, check, or bank transfer).
Manage the petty cash and make all disbursements from it.
Ensure that all working advances paid out to colleagues are settled within the deadline and with sufficient appropriate documents.
Anticipates cash needs of the office and plans payments and requests transfers accordingly.
Handles the office's cash disbursements and payments, including salaries and working advances.
Ensure regular payment related to administration activities such as electricity, water, garbage, office bills etc.
Collates staff leave, salary advance requests, and overtime compensation requests and transmit them in a timely manner to the Human Resources Service Provider at Mubi SD.
Keep up to date about HR policies and procedures and disseminate them to colleagues.
Supervise housekeepers including organization and execution of tasks, and organization of replacement when absent. Also assist these employees to access benefits to which they are entitled.
Provides other administrative support as may be required for travellers, visitors, suppliers, authorities, landlords, other institutions, etc.


Your Profile: Education & Experience


Bachelor’s Degree in Accounting or any relevant field.
Previous experience in similar roles with INGOs or similar environments will be valued with an experience of 3 to 5 years.
Proven field experience in leading surveys, multiple assessments in countries, including the design, data collection and analysis.
Good command of spoken and written English & Hausa – Mandatory
Very good computer literacy, especially Excel, Word, Power point and other office applications.
Very good knowledge in double-accounting, Income and expenditure, Balance Sheet Accounting and Invoice and supplier module.

The Purpose


Under the supervision of the Logistician, the Logistics Assistant provides support to Damaturu (DAT) in the areas of Purchasing, Transport, and Fleet management; Handles logistical files independently; Implements and runs ICRC Logistics procedures; Negotiates contractual matters with external interlocutors and supervises a small team.


Your Role


Conducts market search... vis-à-vis available of goods and services as per sub-delegation’s requirement
Independently carries out petty purchases of goods and services up to 2’000 CHF as per financial rules
As delegated by the Purchasing team in Abuja, follows up on purchases and deliveries and checks that they conform with specifications and contract details
Receives goods and checks that they correspond to the requested quantities and qualities ordered in collaboration with Quality officer in JOS
Independently works to ensure that the fleet is used in a rational manner.
Organizes and plans drivers' duties and assignments; dispatches the assigned vehicles.
Monitors and records vehicle use, always keeps fuel contingency level and replenishes on timely manner to avoid any security risk for the sub-delegation
Keeps tracks of all vehicle movements, and daily inspection reports shared with Fleet / ABJ
Where necessary, checks that field-trip forms are filed and correspond to the assigned mission, and s/he maintains movement planning sheet always updated.
Coaches and trains drivers vis-à-vis eco driving and maintains the safety standards as per Fleet Management manual and management’s instructions.
Closely coordinates with Maiduguri workshop manager regarding fleet maintenance, services, fuel issues and any fleet related matters.
Keeps FleetWave updated with all relevant information and shares them with Fleet / ABJ
Takes all necessary steps to implement the delegation's security rules.


Requirements


Bachelor’s Degree in Logistics, Supply Chain Management, Business Administration or another relevant field
Minimum of 2 years experience in a similar role
Fluent in written and spoken English and knowledge of local languages is an asset (Hausa is mandatory)
Very well organized, with good planning abilities.
Computer literacy; proficient in Microsoft Office software skills (outlook, Excel Power Point, Word).
Driving Licence
Applicant must have a valid working permit to work in Nigeria.

THE PURPOSE

The Cash and Markets Specialist in Maiduguri (MIU) leads the sub delegation’s Cash and Voucher Assistance (CVA) activities, spearheading innovations, and the use of technology in delivering humanitarian assistance. Based in MIU, the Cash and Market Specialist is the primary point of contact for all CVA interventions, including but not limited to Multi-Purpose Cash Assistance (MPCA),... Cash for Livelihoods (CFL), Cash for Work (CFW), Cash for livestock, Cash for Agro inputs, Vocational Training, and cash for sectoral outcomes like Protection and Nutrition. Additionally, s/he is responsible for market analysis and monitoring within the EcoSec Unit, ensuring adherence to SOPs and best practices.

YOUR ROLE


Implements, monitors, and reports on assigned cash-based activities being implemented in MIU AoR
Contributes to the development of guidance and Standard Operating Procedures (SOPs) for various CVA modalities and transfer mechanisms, and conduct orientation and training for field teams on these SOPs.
Manage and lead market assessments, price monitoring, post-distribution monitoring, and other necessary assessments in collaboration with Economic Security (ECOSEC) field teams and under supervisor guidance.
Review and provide feedback on post-distribution monitoring, situation and assessment reports, executive briefs, project proposals, and beneficiary data from field sites.
Coaching field teams on Red Rose or any other technical solution adopted by EcoSec.
Assess Financial Service Providers (FSP) with Cash Log and Finance and Admin (FAD) as needed, following ICRC tools and procedures.
Conduct short-term assignments to support sub-delegations needing guidance, including multidisciplinary assessments, cash feasibility studies, and expertise sharing in cash-transfer assistance and market assessments.
Liaise closely with, Health, Protection and Networking metiers for assistance referrals and Accountability to Affected People (AAP) colleagues for community feedback and complaint responses.
Provide capacity building through training and on-the-job support to EcoSec, other ICRC, and Nigerian Red Cross Society (NRCS) colleagues or focal points in sub-delegations as needed.


YOUR PROFILE: EDUCATION & EXPERIENCE


University Degree in Economics, Business Management, or related field
At least 2 to 4 years’ experience of implementing cash-based assistance.
Very good knowledge of written and spoken English, and Hausa Language (spoken).
Strong analytical, interpersonal, communication and negotiation skills.
Adaptable, multitasker and good in time management
Demonstrated capacity for high level representational work and record of excellent teamwork.
Highly proficient with Excel, word and PPT, desirable to have analytical skills of using statistical software like, Red Rose, etc.
Proficient in report writing and documentation.

Job Summary

Under the direct supervision of Logistics Site Manager in MIU, the Logistician 1 provides technical and operational support in the areas of purchasing, supply chain management, stock management and statistics, in accordance with the ICRC’s logistics standards and local legislation.

Main Duties and Responsibilities

Assist the Logistics Site Manager with the management of... different logistics activities and teams.
Advise the requester on quality issues/differences.
Follows up the purchasing process until the goods are delivered in the Store or on-site and ensures that orders are delivered on time.
Investigates, monitors, and makes recommendations in case of delayed supply chain processes and maintains an active supplier list.
Collect needed data and information within assigned area(s) and produce and share related reports with LSM and technical reference persons.
Acts as Log Information Management (IM) focal person for Logistics team members and maintains an inventory of all archives.
Supports Warehouse management in the absence of the Warehouse supervisor.
Commissions and follow-up on air and road transport.
Organizes the logistical transport of Cargo (Commercial trucks) and passengers (Taxi – in the Outreach places), so that the ICRC can carry out its assistance activities.
Ensures that all transport requests from delegation and sub-sites are responded to quickly and efficiently.
Ensure that all departing/arriving cargo is as manifested and corresponds to the AWB issued by Logistics.
Follows up on purchases and deliveries and checks that they conform with specifications and contract details.
Follow-up on statistical reporting using Tableau application (MoPed, Dashboards for purchasing and Customer Service Desk (CSD))
Supply-chain management and planning (follow up on requests, provide support to supply chain officers, and carries out related reporting) in case of Logistics site managers absence.
Participation in suppliers’ assessment, purchase planning (purchase orders, request orders, supplier files, etc.) and liaise with requesting department and understand the needs.
Implementation and follow-up for financial and administrative procedures.
Trains ICRC staff in logistics procedures.
Ensures that risks are mitigated by performing the controls assigned to his/her roles as described in the logistics risk and control matrix.
May be asked to perform tasks not covered in this job description and to provide support to other departments when necessary.

Education and Experience Required

University Degree

Under the direct supervision of the Logistics Site Manager (LSM), and Vehicle Fleet Manager, the Mechanic carries out preventive maintenance and repairs on ICRC vehicles and other logistics equipment in accordance with ICRC scheduled servicing and Manufacturers’ recommendations
Main Duties and Responsibilities

Carries out repairs on light vehicles, generators, forklifts, and other ICRC... mechanical equipment and in accordance with the manufacturer’s procedures and industry best practices.
Carries out scheduled preventative maintenance service on ICRC vehicles, and generators as per ICRC and/or manufacturer's specifications.
Ensures that all service and repair forms are correctly filled out and filed for all jobs carried out
Ensures that spare parts and consumables stocks are kept at the agreed levels; takes part in placing orders for spare parts and equipment as required
Ensures safe and correct work practices within the workshop (power tools, hoisting equipment, vehicle supports, tire repair, battery servicing, etc.)
Actively assists in keeping inventory for the workshop and its stores as required.
Supervises, trains, and coaches Mechanic Helper (if applicable)
In charge of timely and accurate creation and filing of (both hardcopy/softcopy) job cards, work orders, and service sheets in assigned areas of responsibility
Ensures that technical and personal security standards are followed as regards their work.

Minimum required knowledge & experience:

Technical college/university degree or certificate in mechanical/automotive engineering and valid level 1 motor vehicle mechanics certificates issued by the Nigerian Federal Ministry of labor productivity
Minimum 3 years' confirmed experience as a fully qualified mechanic in the automotive industry or 4–6 years experience in similar position as a mechanic.
Good command (spoken and written) of English.
Good computer skills and computer literacy with sound knowledge of (Microsoft Office, Word, and Excel).
Valid class B or D Nigerian Drivers License
Sound knowledge and repair experience with diesel-powered vehicles and generators and automotive electrical systems
