Job Summary


The Executive Assistant provides high-level administrative support to senior executives by managing schedules, handling correspondence, and performing a variety of tasks to ensure efficient day-to-day operations.
This role requires exceptional organizational skills, discretion, and the ability to work in a fast-paced environment.


Key Responsibilities

Calendar & Schedule... Management:


Manage and coordinate the executive's calendar, scheduling meetings, calls, and appointments.
Prioritize and resolve scheduling conflicts proactively.


Communication:


Act as a point of contact between executives and internal/external stakeholders.
Handle emails, phone calls, and correspondence on behalf of the executive.
Prepare and review communications such as reports, memos, and presentations.


Meeting Preparation:


Organize and prepare for meetings, including gathering agendas, documents, and materials.
Record minutes and follow up on action items.


Travel Coordination:


Arrange complex travel plans, itineraries, and accommodations for domestic and international trips.


Project Support:


Assist in project planning, execution, and monitoring as directed by the executive.
Conduct research, compile data, and prepare reports.


Document Management:


Organize and maintain files, records, and confidential documents.
Handle expense reports, invoices, and administrative paperwork.


Event Coordination:


Plan and coordinate company events, off-site meetings, and other executive activities.


Task Prioritization:


Prioritize multiple tasks and assignments, ensuring timely completion and high-quality results.


Confidentiality:


Maintain discretion and confidentiality in handling sensitive information.


Administrative Support:


Provide general administrative support, including filing, copying, and office supply management.


Qualifications & Requirements


Bachelor’s degree preferred or equivalent experience.
Experience: 3-5+ years of experience supporting C-level executives or senior management.


Skills:


Excellent verbal and written communication skills.
Strong organizational and time-management abilities.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.
Ability to multitask, prioritize, and handle pressure in a fast-paced environment.

Full support & operational 2IC for the Head of Sales & the wider growth team to field all main inquiries across the network & escalate across our various operational channels.
Provide full Business Intelligence support/requests/data digestion for the Head of Sales.
Provide a primary buffer between the Head of sales and many of the operational challenges in order for him to focus on the growth task at hand.
Provide a key man risk mitigant should the Head of Sales not be available.
Maintain the Red Biller relationship (Only relationship at a senior level) as stated but with key support from the VAS team for all operational / implementation requirements relating to Red Biller.
Raising and following up with the project. Escalation, working with the RMs, meeting with RMs daily. Strategies. Meeting with tech. Dailly trackers.
Review the report and ensure Conveyance payments are made.


Qualifications


Bachelor’s Degree in Business Administration, Marketing, Finance, or a related field (or equivalent experience).
Experience: 3+ years in sales operations, sales management, or a similar role, preferably in fintech, SaaS, or a tech-driven environment.
Technical Skills: Proficiency with CRM software (e.g., Salesforce, HubSpot) and sales analytics tools; familiarity with data visualization platforms (e.g., Tableau, Power BI) is a plus.
Analytical Mindset: Strong data analysis skills with the ability to interpret complex sales data and generate actionable insights.
Project Management: Experience in managing multiple projects and priorities with a results-driven approach.
Interpersonal Skills: Excellent communication and collaboration skills with the ability to work effectively across departments.
Problem-Solving Abilities: Proactive approach to identifying and resolving issues, enhancing sales productivity, and implementing best practices.


Preferred Skills:

Experienced Sales Coordinator or Administration function in Agri distribution, FMCG, Pharma or F&B industries.
Excellent communication, sales, and customer service skills.
The ability to multitask, work in a fast-paced environment, and meet deadlines.
