  • Calendar and Call Management
  • Prepares and manages the daily activities. Schedule all external appointments, including (but not limited to) courtesy calls, meetings and appointments with host country government officials, diplomatic corps, and other prominent local community leaders, VIP’s, non-government organizations and visiting Congressional Delegations (CODELS). Schedule all internal appointments between Embassy staff and the Ambassador.
  • Receive and screen all incoming telephone calls. Respond to inquiries and requests, or direct to responsible parties for action.
  • Correspondence
  • Draft routine and other correspondence (i.e., memorandums, country clearances, letters, and diplomatic notes), drafting non-papers for requests with little or no guidance. It may include liaising with the Protocol Assistant regarding events, letters of thanks, condolence and congratulation.
  • Team Meetings
  • Organize and schedule weekly country team meetings. Plan and schedule with other sections country team meetings for visiting VIP’s and delegations. Ensure meeting rooms are appropriately presented and stocked for such meetings. Ensure the Executive Conference room remains in a state of readiness for such meetings, regardless of originating office as well as take and summarize notes for meetings.
  • E-Country Clearance (eCC)
  • Review and track daily, determine requirements before submission, provide regular updates to appropriate sections.
  • Provide regular guidance to staff ensuring system is used effectively.
  • Flag to Ambassador key sections or public outreach targets of opportunity.
  • Records Management
  • Establish and maintain classified and unclassified files by subject and chronological.
  • Maintain and update publications/subscriptions for the section library.
  • Event Planning
  • Coordinate and track event check for Ambassador’s representational events by preparing guest lists and invitations including receiving RSVP’s, organizing catering, greeting guests, determining venues, and Unclassified helping during all events. Working closely with Protocol Officers.
  • Plan and organize working lunches and other special events hosted for VIP’s at the Embassy. Arrange catering and personally set up the venues for the events.
  • Time & Attendance
  • Acts as the Timekeeper for the section and is responsible for timely and accurate reporting. Incumbent will need to track driver schedules and consult with the Master Timekeeper on nonroutine queries.
  • Office Supplies and Ordering
  • Order all stationary and supplies for the office and report to appropriate office any problems or malfunctions with office equipment.
  • Official Residence Employees (ORE)
  • Acts as the point of contact with the Residence Manager and Housekeeper. Provides work guidance to the residence staff in support of the Ambassador’s activities.
  • Complete final ORE reports, representational vouchers and travel vouchers.
