Responsibilities


Support in the general administrative operations and coordinate as appropriate with other UN-Habitat staff and departments.
Scheduling project meetings schedule, in relation to the program and handling related correspondence.
Support project financial management and reporting by reviewing and consolidating field reports in areas of direct and indirect implementation.
Support in updating and monitoring of various trackers e.g., procurement, travel, recruitment and cash advance.
Support with travel logistics arrangements e.g., flight bookings, car hire and accommodation booking.
Support in the organization of meetings, training and conferences including liaison with participants, conducting site visits, and assisting with writing minutes.
Provide assistance in the clearance and approval of legal documents such as Agreements of Cooperation applicable in the implementation of the project activities.
Responsible for the project documentation process, to facilitate the development of the PINUA Knowledge Management Hub.
Support in the quality assurance of submitted reporting documents by Implementing Partners.
With the support of the ICTS office, assist in leveraging project automation, managing share drive information, electronic reporting templates, setting-up on new user accounts, laptop assignment and troubleshooting of system and network problems.
Maintain orderly records and files on on-going projects and project/programme


Qualifications/special skills


Applicants must at the time of application, meet one of the following requirements:
Be enrolled in a graduate school programme (second university degree or equivalent, or higher),
Be enrolled in the final academic year of a first university degree program (minimum Bachelor's level or equivalent),
Have graduated with Bachelor's degree, Masters, PhD or equivalent. Be computer literate in standard software applications (Microsoft Office Suite). Have demonstrated a keen interest in the work of the United Nations and have a personal commitment to the ideals of the Charter.
Have a demonstrated ability to successfully interact with individuals of different cultural backgrounds and beliefs, which includes a willingness to try and understand and be tolerant of differing opinions and views.
