Pay Schedule: Range 14 ($109,075 - $141,143)

Work Schedule: 225 days/12 months

Location: On-site and Remote Office  

Position Summary: Under the direction of the Director of Information Technology, the Senior Administrator, Information Technology — IT Project Manager will serve as the department's senior project leader and technical program manager. The role provides project governance, technical leadership, and strategic program oversight for enterprise IT initiatives that support Sage Oak's virtual K-12 mission. The position requires proven competency in project management, cloud architecture and integrations, systems development, and K-12 education technology. This leader will work with department leadership and cross-functional partners to translate school priorities into reliably delivered technology outcomes.

 

ESSENTIAL FUNCTIONS and RESPONSIBILITIES

Overarching Duties and Abilities for All Sage Oak Senior Administrators:

 





Primary Focus




- Supports department leadership in executing the department's shared vision

- Conducts research on laws and trends that pertain to the department as needed






Budget




- Supports the tracking, monitoring, and maintenance of specific budget items as assigned






Staff Performance and Professional Development




- Conducts observations, tracks performance, and provides constructive feedback to staff as needed

- Facilitates the schools' corrective action process for all assigned staff as needed

- Collaborates with the supervisor to set individual professional goals/actions that are in alignment with schoolwide goals. Develops a plan to execute and achieve those goals

- Collaborates with other departments to ensure the training needs of all staff are supported; Creates and presents trainings/presentations that align with identified training needs; constructively and concisely responds to staff questions






School and/or Department Development




- Develops innovations that will support the schools’ growth and needs and promote sustainability and longevity within the department; Determines department needs and proactively develops solutions using creative problem solving and a high level of customer service to the larger community, staff and students

- Supports leadership with maintaining policies, procedures and department manuals to ensure alignment with school goals and current laws

- Supports department with hiring of quality staff and works collaboratively with human resources to follow school policy and procedure






Educational Partner Engagement




- Develops a strong presence, collaborative relationship, and engaged connectivity with authorizing districts, the Board of Directors, Sage Oak staff and families, and the larger community through both in-person and virtual means

- Attends meetings and conferences as needed






Essential Duties:


- Supports department leadership in executing the department's shared vision.

- Maintains highly professional communications, promotes continuous improvement, and models Sage Oak's core values.

- Leads IT projects from initiation through planning, execution, monitoring, and controlling, and closure using formal project charters, stakeholder engagement plans, and lessons learned. Follow established Project Management (PM) project phases and templates when applicable.

- Produces and maintains project artifacts, including project charters, schedules, milestone plans, communications plans, status reports, and final project closeout reports.

- Facilitates kickoff, status, steering committee, and lessons learned meetings; maintains project repositories and action-item tracking.

- Serve as the primary liaison across departments, vendors, and executive leadership to maintain alignment between technical solutions and educational needs.

- Manages sponsor and steering committee engagement, escalates issues appropriately, and ensures decisions are documented and communicated.

- Provides direction for project teams and mentors staff members. 

- Manages vendor relationships, reviews SOWs, and oversees third-party partners to ensure deliverables and budgets are met. Support tracking and monitoring of assigned budget items.

- Ensures projects include comprehensive documentation, training, SOPs, and post-go-live support plans. Maintains project sites/repositories and ensures knowledge transfer to operations teams.

- Uses and promotes modern project and collaboration tools used by the department, such as ClickUp and Google Workspace. Supports improvements to project intake, status reporting, and departmental dashboards.


Oversight Responsibilities: 


- Supervise and oversee all department staff, including but not limited to:


- Supervises and coordinates with assigned senior technical staff as directed. 



Other Duties


- Responds to non-urgent communication within 24 school hours and urgent communication within two school hours

- Resolves escalated employee, parent, and student issues in alignment with core values and ensuring compliance with the school’s Uniform Complaint Policy; the school’s Uniform Technology Policy; and the provisions of California Penal Code Section 11166 (Child Abuse and Neglect Reporting Act)

- May be asked to resolve escalations and provide input on hiring and performance conversations

- Performs other duties as assigned


QUALIFICATIONS GUIDE

 

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  The requirements listed below are representative of the knowledge, skill, and/or ability required.

 

Education & Experience


- Bachelor's degree in Information Technology, Computer Science, Systems Engineering, or a related field preferred. 

- Minimum five years of IT experience with at least three years in a project management or leadership role. Experience in K-12 or charter education preferred

- PMP, PgMP, or similar project management certification preferred. Agile and Scrum certifications preferred.

- Experience managing vendor SOWs and third-party implementation partners


Other Qualifications


- State and federal fingerprint clearance (LiveScan) to work with students (Ed. Code 44237). No prospective employee can report to work without this clearance being received, and the Human Resources Manager notifying the immediate supervisor of this clearance. 

- Proof of a clear TB Tine test or signed Certificate of Completion dated within the last 60 days (Ed. Code 49406) upon employment and thereafter updated every four years

- Hold and maintain a valid California Driver’s License; proof of automobile insurance; and full-time use of a dependable automobile that is insured pursuant to California regulations. 


Knowledge


- Strong leadership, stakeholder management, and communication skills; ability to translate technical concepts for non-technical audiences

- Proven skills in project governance, risk management, schedule control, and budget oversight aligned to PM practices

- High proficiency with Google Workspace and modern project tools; ability to use data and reporting to inform decisions
