This role is pivotal in supporting the HR Manager across a wide range of operational and administrative functions that span the U.S., Canada, and Brazil. The ideal candidate is a self-starter with a strong sense of ownership, exceptional communication skills, and the ability to thrive in a fast-paced, remote-first environment. You will play a key role in ensuring smooth HR operations, maintaining compliance, and enhancing employee experience through thoughtful coordination and execution of HR and administrative processes.HR Operations & Administration - Manage employee lifecycle tasks including onboarding, offboarding, and data entry in HRIS systems 
- Coordinate new hire equipment orders and ensure timely setup of accounts and access.
- Support benefits administration, including annual renewals and employee inquiries.
- Process salary adjustments, bonuses, commissions, and document changes in PEO and HRIS platforms.
- Assist with immigration documentation, including visa and green card cases in coordination with our immigration lawyer.

Compliance & Policy Management - Maintain and update employee handbooks and internal policies on a quarterly and annual basis.
- Support compliance efforts including annual report filings, new state employer registrations, and monthly reporting.
- Assist in documenting and implementing new HR policies and procedures.

Employee Engagement & Culture - Deliver excellent customer service by answering employee requests and questions in a timely and professional manner, contributing to a positive employee experience.
- Help foster a positive workplace culture through coordinating engagement initiatives, recognition moments, and company celebrations.
- Assist in organizing team-building activities, social events, and communication efforts that connect employees across regions.
- Assist in organizing internal meetings, ensuring agendas and presentation materials are well-prepared and aligned with meeting goals

Finance & Systems Support - Assist with accounts payable and vendor payments for HR and internal departments
- Administer travel reimbursements: review reports, ensure accuracy, and approve submissions.
- Coordinate travel arrangements including booking flights, hotels, and creating itineraries.

Knowledge Management & Process Improvement - Maintain and enhance the internal knowledge base and wiki articles.
- Identify and implement process improvements across HR and administrative workflows.
- Support recruiting efforts including background check documentation and candidate data management.

- 3–5 years of experience in HR coordination, administration, or operations.
- Proven ability to handle confidential information with discretion.
- Strong written and verbal communication skills; comfortable with phone and video meetings.
- Experience working in a remote environment and across multiple time zones.
- Familiarity with HRIS systems (e.g., Personio, SAP ByDesign), Expensify, and PEO platforms.
- Excellent organizational skills and attention to detail.
- Customer-service mindset with a proactive approach to problem-solving.
