Role Summary


A Medical Front Desk Clerk, is responsible for interacting with patients/guests in a hospital setting and managing administrative tasks for the medical team. Their duties include scheduling patient appointments according to Doctor availability, explaining admission forms to new patients and processing payments after treatment.


Duties and Responsibilities

Systems


Booking/scheduling of procedures
Schedule appointments between doctors and patients.
Maintain hospital inventory such as checking stationery supplies, water cooler and tea dispenser.
Ensuring the reception is clean at all times.
Ensuring claim forms and pre-authorization forms are well documented and ready to be sent to the relevant insurance companies.
Ensure NHIF pre-authorization and bed rebate is done in NHIF system
Assist with admissions as per agreed protocols.
Adhere to policy and procedures during all activities.
Adhere to allocated rotas with punctuality.
Perform any other duties as may be assigned from time to time.


Process


Complete accurate documentation of patient visits upon admission and discharge.
Ensure that stock levels are adequate and orders are made timeously.
Take charge of booking of surgical procedures ensuring correct allocation of time.
Ensure the biometrics system is followed.


People

Internal ;-


Answer all phone calls in a professional and courteous manner.
Maintain confidentiality of all doctor and staff information.
Liaise between medical departments with discretion and professionalism
Make sure that all information concerning patients remains confidential at all times.
Ensure and safeguard the hospital /patients and equipment from damage, wastage or loss.


People

External;-


Greet and attend to patients in person and over the phone.
Professionally assist doctors, staff, visitors, and patients.
Answer all phone calls in a professional and courteous manner.
Maintain confidentiality of all doctor and patient information.
Maintain personal contact with the doctors to ensure their needs are met, and grievances addressed.
Maintain personal contact with patients ensuring that they understand the admission process and that their needs are met.
Communicate medical results to patients under clinical supervision if need arise.


Required Qualifications

Academic and professional qualification


 High school diploma or general education degree (GED) required.
 2-3 years of relevant experience in an office environment.
 Strong phone skills.
 Demonstrated ability to read, write, and speak English
Administration certification (essential).
Certificate of good conduct.


Experience


2 years of experience at a healthcare facility in a medical receptionist role (essential).


Required license/ certificate


Current BLS
Healthcare management course from a recognized institution added advantage
