​​​​​The Role


The Carbon Engagement Officer is MMWCA's focal point for stakeholders' engagement for the One Mara Carbon Project. The Project is considered a potential additional source of revenue for the Mara Conservancies set to strengthen the existing conservancy model, which is mainly dependent on tourism. The Carbon Engagement Officer will coordinate community engagement to help... conservancies and MMWCA set up the One Mara Project successfully.


Scope of Work


Serve as the primary point of contact between the project team and all stakeholders within the landscapes including the communities, conservancy management, tourism operators and research organization ensuring strong relationships and effective communication.
Lead awareness activities on the One Mara Carbon Project, including supporting in the development of Information, Education and Communication materials, and help stakeholders build knowledge around the concept of carbon financing and distinctly outline the roles the conservancies and landowners need to play to enhance the success of the Project.
Engage with local stakeholders, including community members, leaders, and groups, to build trust, foster support, and promote the project's goals, objectives, and benefits. Address any concerns and ensure meaningful community involvement in project activities.
Act as One Mara Carbon knowledge custodian within MMWCA and an information point of reference by other organisations and stakeholders.
Ensure free prior informed consent standards are developed, documented, and maintained for all One Mara Carbon Project activities.
Facilitate community consultations, meetings, and workshops to gather feedback, provide project updates and ensure that the community's views are considered in project planning and implementation.
Support conflict resolution and problem-solving between that might occur during project implementation
Monitor and report on community engagement activities, providing regular updates to the Senior Programmes officer and OMCP representatives
Ensure that the project complies with community engagement standards, including obtaining necessary permissions and ensuring informed consent when required.
Promote local capacity building and training opportunities related to project activities, encouraging community participation in carbon monitoring, restoration, and management.
Contribute to the One Mara Carbon Project strategy
Working closely with the Senior Programmes Officer - Governance & OMCP communications lead to develop and implement the One Mara Carbon Project communication strategy to facilitate inclusive and effective communication and participation of all critical stakeholders (including under-represented groups).
Coordinate exposure tours and reciprocal knowledge exchanges with other landscapes that are implementing carbon-financing initiatives.
Coordinate participatory planning engagements for conservancies" managements and landowners' representatives for Project Activities.
Generate up-to-date briefs, working closely with the Project Proponent and Carbon Project technical lead(s).
Develop and maintain a stakeholders' map for the Project and ensure transparent information flow between stakeholders.
Assist in managing relevant donor reports and generating and submitting donor reports on time in line with institutional and donor requirements.
Synthesis of feedback and participatory planning outcomes from workshops into strategies that can help improve programmes for MMWCA and the One Mara Carbon Project.


Required Qualifications & Skills:


Minimum 5 years' experience, working with the communities and conservancies of the Maasai Mara ecosystem
Strong communication, interpersonal, problem-solving, conflict resolution and report writing skills
Fluency in Maa is highly desirable

Reporting to the Senior Finance & Grants Officer, The Grants Officer will:

Assure quality management of Grants and Sub-grants from inception to closure; Ensures that in managing MMWCA grants all activities are delivered to a high standard, on time and on budget;
Position MMWCA in relation to any future grant management opportunities;
Demonstrate experience in the areas of Finance and Program... management;
Demonstrate strong knowledge of MMWCA’s Grants and Program Management Policies, Indirect Cost Guidelines, grant agreements, funding mechanisms, and requirements;
Build capacity of MMWCA staff to adhere to donor regulations;

Main Responsibilities
Grant and Sub-Grants management - 55%

Manage the whole grants and sub-grants life cycle, from grant design, selection, start up, implementation through to grant closure, ensuring compliance with internal procedures and donor regulations.
Serve as part of point of contact on grant management and compliance issues.
Support timely agreement development/review/approval, both at the level of MMWCA and partners, ensuring adherence to both internal MMWCA and donor requirements.
Support development of Grant Budgets and cash Forecasts.
Support Grants budget monitoring by regularly producing Budget vs Actual reports for respective Grants.
Support timely response to donor requests related to grants agreements, budgets and spending

Reporting and Communications - 10%

Coordinate the preparation of high quality Financial reports to donors in a timely fashion.
Support reporting and communications with external partners
Support building of relationships with strategic MMWCA partners.

Finance and Compliance - 30%

Maintain overall budget authority for the grants programs - allocate budget to staff members and coordinate spend between expense categories.
Work with finance team to ensure accurate Grant reports are produced in a timely manner.
Maintain an overview of grants, managing and monitoring them. Ensure that all compliance requirements are met.
Assist in the preparation for and management of the annual audit. Implement audit recommendations

Qualifications and Experience

Bachelor’s Degree in Finance/Accounting or related field
Experience: Minimum of 3 years’ experience preferably in a Not For-Profit.
The holder should be at least CPA part 11 or equivalent
Proven experience in grant management (3year), preferably with major international donors (Including USAID)

Skills and Competencies

Proficiency in Microsoft Office and Preferably SAGE 200 Evolution.
Strong communication skills. Good analytical skills.
Ability to work with minimum supervision
Financial planning, budgeting and budgetary control.
Knowledge of best practice grant management approaches.

Main Responsibilities
Financial Management - 55%

Manage the financial accounting, monitoring and reporting systems of MMWCA.
Ensure compliance with MMWCA policies and procedures as well as local laws (i.e. taxes, customs, registration, insurance);
Prepare and control the organisational and project budgets.
Monitor cash flows and advise accordingly.
Assist in developing and implementing... financial management mechanisms that minimise financial risk.
Identify Organisational and project financial risks and consult with the CFO on mitigation measures.
Liaise with auditors for annual and project accounts. Follow up on implementing audit and compliance review recommendations.
Develop relationships with appropriate contacts, e.g. auditors, lawyers, vendors, bankers and statutory organisations.
Produce Analytical financial reports to specific deadlines (Organisational & Projects).
Assist Programme, Administrative and communication teams in managing budgets.
Ensure compliance with Donor requirements and legal obligations.
Keep abreast of changes in financial regulations regarding Donors, Kenyan law and legislation.
Develop, Utilize/review monthly financial and operational monitoring tools (forecast, procurement tracker, activity tracker, etc.);
Support the CFO, CEO and SMT in preparing financial information and reports for the Finance Committee and Board as required.

Grant Management - 35%

Develop and Review budgets for grant proposals.
Supervise expenditures to budgets.
Ensure accurate, timely, efficient and transparent processes for all grants.
Manage institutional reporting, including meeting internal and external reporting deadlines, identifying reporting components, compiling required documents, ensuring report completeness, and facilitating final submission to funders.
Work closely with Programme teams to build and execute work plans and processes, strengthen capacity for the grants management team, and ensure transparency and accountability.
Keep up-to-date with funder requirements and developments in the use of indicators, tools, etc.
Participate in relevant meetings relating to the grants and their respective management.
Follow-up to ensure grant files are updated with budgets, grant contracts, agreements and reports (Progressive & Final).
Work with the Grants Management Team to ensure sub-grantee complete the pre-award requirements (Anti-terrorism and Site visit assessment tool) and a sign grant agreement and grant modifications.
Working with the Grants Management Team, provide technical assistance as required to build the capacity of local partners & sub-grantees.

Team Lead - 10%

Ensure all staff adhere to MMWCA standard operational procedures as necessary.
Update the terms of reference of directly supervised colleagues in collaboration with the CFO and Chief Administrative Officer as needed.
Oversee the daily operations of the Finance & Grants Department and undertake appraisals of directly supervised colleagues.
Ensure capacity building for Finance & Grants team members to increase the level of technical ability and skills within the department to deliver financial and Grant and or Programme outputs;
Improve information flows within the Department;
Engage with Other Senior Finance & Grants Officers from other organisations to share best practices and lessons learnt and collaborate on process improvements.

Qualifications and Experience

Bachelor’s Degree in Accounting, Commerce or Finance.
Recognised Certificate of Professional qualification in Accounting (ACCA, CPA)
At least four years of CPA post qualification experience, preferable with a development organisation.
Proven experience in grant management, preferably with major international donors.
