Greet and welcome guests as soon as they arrive at the office
Direct visitors to the appropriate person and office
Answer, screen and forward incoming phone calls
Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
Provide basic and accurate information in-person and via phone/email
Receive,... sort and distribute daily mail/deliveries
Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
Order front office supplies and keep inventory of stock
Update calendars and schedule meetings
Keep updated records of office expenses and costs
Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing

Responsibilities 


Manage and maintain the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
Prepare and organize meeting agendas, presentations, and reports as required.
Screen and prioritize emails, calls, and correspondence, responding on behalf of the CEO when necessary.
Serve as the primary point of contact between the CEO and internal/external... stakeholders.
Facilitate effective communication by relaying information accurately and promptly.
Represent the CEO professionally in interactions with clients, partners, and team members.
Assist in planning, coordinating, and executing special projects and initiatives led by the CEO.
Track the progress of key tasks and ensure deadlines are met.
Conduct research and compile data to support decision-making.
Organize and manage executive meetings, including board meetings and leadership team gatherings.
Take detailed meeting minutes and follow up on action items.
Ensure meeting materials and presentations are prepared in advance.
Coordinate complex travel arrangements, including flights, accommodations, and itineraries.
Process and manage expense reports in a timely and accurate manner.
Handle sensitive and confidential information with the utmost integrity and professionalism.
Maintain the highest standards of confidentiality in all aspects of work.
Oversee the organization and maintenance of the CEO’s office, ensuring an efficient workspace.
Manage administrative tasks such as filing, document preparation, and supply management.
