Role Purpose

The Project Manager will lead the delivery of a large-scale SharePoint Online and Microsoft 365 intranet modernization programme. The role is responsible for end-to-end project governance, stakeholder engagement, and delivery oversight across intranet design, workflow automation, content governance, legacy migration, and user adoption.



This role requires proven experience... managing SharePoint based intranet programmes and applying business analysis techniques to translate business objectives into structured, governed, and user-focused solutions.

Key Responsibilities

Project Leadership & Governance


- Own delivery of complex SharePoint and Microsoft 365 projects from initiation through to deployment and close

- Act as the primary point of contact for internal stakeholders, delivery partners, and suppliers

- Establish and maintain project plans, schedules, budgets, RAID logs, and dependency tracking

- Lead project kick-off, weekly status meetings, and steering committee sessions

- Manage change control, scope management, and delivery trade-offs

- Ensure all project deliverables meet agreed quality, security, and governance standards



SharePoint Intranet & Digital Workplace Delivery


- Manage projects involving SharePoint Online intranets, communication sites, and department collaboration sites

- Oversee delivery of:

- Digitised forms using SharePoint Lists, Power Apps, and Power Automate

- Memo management and acknowledgement workflows

- Content promotion, publishing, and review workflows

- Staff directories, calendars, and Viva Connections dashboards





- Coordinate configuration, testing, user acceptance testing (UAT), and phased rollouts

- Ensure alignment with Microsoft 365 best practices, security, and information architecture



Business Analysis & Requirements Management


- Lead business discovery activities including workshops, interviews, and departmental engagement sessions

- Elicit, analyse, and document business, functional, and non-functional requirements

- Translate business needs into clear delivery plans and solution requirements

- Maintain traceability between requirements, design decisions, and delivered outcomes

- Support prioritisation of high-value use cases (e.g. high-priority forms, key intranet content)



Stakeholder Engagement & Change Management


- Engage with senior stakeholders, department leads, and subject matter experts

- Support formation and operation of steering committees and departmental champions networks

- Ensure effective communication plans are in place for launch, adoption, and ongoing change

- Coordinate training, knowledge transfer, and “train-the-trainer” activities

- Drive user adoption by balancing technical delivery with business readiness



Risk, Quality & Compliance


- Proactively identify and manage delivery risks, technical dependencies, and organizational constraints

- Ensure compliance with data governance, access control, sensitivity labelling, and retention policies

- Oversee quality assurance activities and formal acceptance of deliverables

- Support smooth transition from project delivery into operational support



Skills & Experience

Essential


- Proven experience delivering projects as a Project Manager in a Microsoft / SharePoint environment

- Demonstrable experience managing SharePoint Online intranet or digital workplace programmes

- Strong business analysis experience, including requirements elicitation and documentation

- Experience delivering workflow automation using Power Automate and Power Apps

- Strong understanding of information governance, content lifecycle management, and security concepts

- Excellent stakeholder management, facilitation, and communication skills

- Experience working with Agile, Waterfall, or hybrid delivery approaches



Desirable


- Experience delivering intranets in public sector, education, or highly regulated environments

- Experience with legacy content or file share migration to SharePoint Online

- Familiarity with Viva Connections, SPFx components, or modern SharePoint architecture

- Knowledge of Microsoft Purview, sensitivity labels, and retention policies

- Project management certification (PRINCE2, PMP, AgilePM, MSP)

- Business analysis certification (BCS, IIBA, CBAP)
