ESSENTIAL DUTIES:

Grant Administration and Resource Mobilization


Develop and implement a comprehensive written annual resource development plan with strategies for donors and prospects in each constituent group including: individuals, faith groups, organizations, corporations, etc.
Broaden the hospital’s fundraising scope by researching, coordinating and writing proposals to prospective donors.
Provide timely reporting and ensure compliance as required by the different donors as per their reporting requirements.
Create and implement strategies for donor development and cultivation which will provide a diverse and sustainable funding base.
Keep up-to-date on current fundraising programs, practices and procedures used in the nonprofit sector and inform the Finance Manager and Executive Director of items that would benefit the hospital.

Business Development and Government Relations

Ensure all hospital’s operations are of a high quality and continuous enhancement of quality in all activities to ensure the hospital meets and surpasses the patients’ needs. This is the key foundation of enhancing the hospital’s brand.

Identify foundations/corporate social responsibility programs working in country and develop a strategy on working with them to support the hospital activities.

Review the implementation of the mobile clinics programs to make them a gateway for patients.
Ensure the hospital’s marketing campaigns provide for broadcasting in the main media programs being run by international doctors at the hospital.
Organizing publicity events within the hospital, local community partnership events and collaborating with relevant government agencies in arranging community awareness campaigns.
Lobbying ministries and political leadership in assisting the hospital services and projects.
Plan, design, develop and implement customer experience support processes and ensure appropriate, timely and quality resolution of customer queries.

Review monthly schedules prepared by accounting staff to support liabilities and assets financial activity, verify for correctness, accuracy and present to the finance director for approval


Budgeting Monitoring


Prepare and monitor the finance department budget.
Assist Heads of departments prepare and track their departmental budgets as and when required
Ensure correctness of posting as per project budgets, hospital annual budgets and as per recommended general ledger lines
Report instances of significant underspending or overspending to the finance director for planning and action


Payroll Management:


Preparation of bank and cash payments for staff salaries
Timely preparation of statutory returns and payments is done before the due date.
Posting Payroll expenditure on the hospital financial system as per project and annual hospital budgets


Accounts Payable:


Verification of Documentation- Ensure supplier invoices are accurate and match the goods received a note and that necessary purchase requests and orders were raised before payment.
Ensure timely preparation of staff cash advances and supplier payments.
Ensure quarterly issuance of statements to hospital creditors for the correctness of supplier balances in the system.
Verification of contractual obligations before a supplier is paid.
Review the hospital payable aging list and ensure suppliers are paid within 30 days.
Ensure proper records are kept, and that filing is done per the hospital finance manual.


Accounts Receivable


Ensure cashier and accounts receivable bill and invoice insurance, partners, and donors within 3 days after discharge.
Ensure hospital debtors’ statements are sent out monthly, and any discrepancies are sorted out within 7 days.
Follow up on any outstanding debt beyond 60 days and communicate any debt recovery challenges to the Finance director.
Communicate any patient discounts or write-offs to the finance director for approval.


Fixed Asset Register


Update the FAR with acquisitions, additions, disposals, theft, depreciation, change in location or assigned user, change in the asset’s condition, etc.
Ensure relevant supporting documentation is uploaded on the asset in the financial system
Reconciliation of the physical fixed asset count and the hospital’s financial system

The development and programs manager is responsible for the administration and overall coordination of fundraising functions of the hospital, which includes but is not limited to managing the existing CURE hospital donors, strategizing on new donor engagement, overseeing the implementation of donor-funded programs, marketing and branding and ensuring the Hospital is fully... automated.
Donor requests and administration

Develop and implement a comprehensive written annual resource development plan with strategies for donors and prospects in each constituent group, including individuals, faith groups, organizations, corporations, etc.
Broaden the Hospital’s fundraising scope by researching, coordinating, and writing proposals to prospective donors.
Provide timely reporting and ensure compliance as required by the different donors per their reporting requirements.
Create and implement donor development and cultivation strategies that will provide a diverse and sustainable funding base.
Keep up-to-date on current fundraising programs, practices, and procedures used in the nonprofit sector and inform the Finance Manager and Executive Director of items that would benefit the Hospital.
Create and implement major gifts program, planned giving program, and volunteer/ human resource sharing program.
Build and maintain relationships with major donors of all types, develop strategies for solicitation, and solicit or coordinate the solicitation by other affiliate staff, board, or volunteers, as appropriate.
Ensure that the donor database information is current and accurate.
Offer support to the business development office in Identifying and pursuing new corporate and foundation funding sources.

Business Development

Come up with strategies for increasing patients number through mobilization and follow-up processes.
Responsible for continuously enhancing the Hospital’s brand position
Ensure all Hospital’s operations are of a high quality and continuous enhancement of

quality in all activities to ensure the Hospital meets and surpasses the patients’
needs. This is the critical foundation for enhancing the Hospital’s brand.

Develop a strategy to market the Hospital using various marketing media (e.g., print,

digital, broadcast, and signage company profiles, leaflets, and updating relevant information on the hospital website, Facebook, and Twitter.) to increase awareness about the Hospital.

Develop a strategy for developing and distributing/broadcasting documentaries on the

Hospital success stories and testimonials by recovered patients.

 Identify foundations/corporate social responsibility programs working in Kenya and

establish a strategy for working with them to support the Hospital activities.

Aggressive marketing of the Hospital services by entering into marketing strategies/contracts with critical organizations that the Hospital can provide orthopedic care
 Review the implementation of the mobile clinics' programs to make it a gateway for private patients and bring in the general patients.
Establish a working relationship with non-resident doctors to allow them to treat their patients at the facility.
 Ensure the Hospital’s marketing campaigns provide for broadcasting in the main media programs being run by international doctors.
 Organizing publicity events within the hospital, local community partnership events, and collaborating with relevant government agencies in arranging community awareness campaigns. 
 Lobbying ministries and political leadership in assisting the hospital services and projects.

EDUCATION/EXPERIENCE REQUIREMENTS:

Degree in Communication, Social Studies, Business Management/ Financeor related field, or equivalent work experience.  
Masters in a Business Related program will be an Added advantage.

Compiling of assigned donor reports on time. Program Officer will make sure that they understand all the donor needs in accordance to the various projects being implemented and make sure that quality and compressive reports are submitted to the donors in time.
Following up on assigned patient-donor-funded programs and making sure that all requirements by CURE or the... program beneficiary are met and on time.
Coordinating with the relevant teams to make sure that all content for reports I.e. Any material need for verification of activities or evidence of implementation is available and on time.
Helping collect patient information for profile building. Donors requiring profiles build and submitted to them have a guideline of requirements. The Program Officer will be responsible for the collection compilation and submission of those profile as per the guideline given by the donor.
Alternating with the rest of the team for all donor and communication related work at clinic. The Program Officer will be required to travel to clinic often to do patient follow up, identification of new patients requiring financial support and reporting of mobile clinic activity.
Updating profiles. This will include one on one conversation with beneficiaries documenting their progress and sometimes visiting beneficiaries at the home to document impact of programs or/ and as required by the various donor projects
In-charge of all online donor correspondence making sure all information online is updated.
In-charge of all quality activities in relation to this position as per the Hospital Standards.
Helping with the documentation of all Functions/operations at the Hospital.

Essential Duties

Develop a standard project management template and keep each project folder up to date.
Develop project GANTT charts and track and report on progress to the Head of Facilities.
Liaise with the project team to track and report on project timelines, expected completion dates, and outstanding action items.
