Main Job Purpose
This role is responsible for supporting the Business to win and deliver projects by providing resourcing admin support for a number of key resourcing processes, primarily contributing, amongst other tasks, to the due diligence process, by liaising with relevant stakeholders to carry out necessary checks. The postholder will also be responsible for the advertising and posting of... roles and the maintenance of the Lumesse applicant tracking system.
Main Role Responsibilities
Due diligence

Responsible for liaising with the Resourcing team and Business Stakeholders to complete the due diligence process on all contractors whom we are in negotiations with for potential opportunities.
Responsible for co-ordinating with candidates to obtain relevant documentation (e.g., references, professional qualifications) to ensure compliance with the due diligence process.
Responsible for following-up with candidates in a timely manner to obtain any additional/pending information.
Responsible for liaising with the Resourcing team and Business Stakeholders on any negative due diligence outcomes and inform a contractor of the outcome of the due diligence process.
Responsible for ensuring that necessary approvals are obtained at key stages during the due diligence process in a timely manner.
Responsible for providing regular and timely status updates to recruiters on the due diligence process for a particular candidate, and for flagging any potential challenges.
Keep track of Due Diligence that are coming to an end and renew as necessary.

Database management

Ensuring the DD and Job profiles are recorded correctly and timely on the appropriate systems and workflow trackers.
Responsible for ensuring that all documentation relevant to the due diligence process is uploaded and maintained in a timely and accurate manner, for reference and compliance purposes.
Create and maintain pools of candidates for Clusters on Lumesse as directed by other members of the Resourcing team.

Resourcing/Advertising /Job posting/Contracting

Ability to use Applicant Tracking Systems, such as Lumesse/ Linkedin to assist with resourcing.
Advertising roles on internal and external job portals and managing the response when required.
Responsible for supporting project teams to develop pen-portraits and formatting CVs to be included in EOI and/or RFP responses, if required
Assisting with arranging interviews if needed from the Resourcing team on certain projects.
Support to the Payroll and Contracts Manager to create contracts as and when required.

MAIN RESPONSIBILITIES OF THE JOB
Financial Accounting

Ensure comprehensive financial accounts are maintained for CA Kenya to comply with local regulations & corporate governance
Record all financial transactions by entering them into the accounting system
Review the monthly P&L and balance sheet of the CA Kenya, ensuring that the balance sheet is reconciled monthly
Liaise with HQ to ensure... finance month end processes are completed in line with deadlines
Manage the timely preparation & submission of the annual statutory accounts for the CA Kenya and liaise with the external auditors regarding the annual audits

Management Accounting

Manage and review monthly management accounts providing detailed commentary for actual versus budget analysis

Posting of required month end journals such as accruals and prepayments

Project Accounting

Manage the project accounting for any locally delivered contracts

Treasury

Forecast cash flow positions, related funding needs from HQ, and available funds for HQ cash-pooling
Ensure that sufficient funds are available to meet ongoing operational and project delivery requirements
Maintain and implement a system of polices and procedures that create an adequate level of control over treasury activities

Payroll

Undertake the preparation of the monthly payroll ensuring all necessary payment adjustments and deductions are efficiently and accurately reflected
Ensure compliance with internal CA payroll policies as well as local statutory payroll and tax requirements

Control Function

Ensure that adequate financial and internal audit controls are in place, are aligned with group polices and are monitored on a regular basis
Substantiate financial transactions by reviewing and verifying supporting documentation

Fixed Assets

Manage the fixed asset process, ensuring assets are correctly capitalized, depreciated and disposed in line with internal controls and processes

Taxation

Ensure that local taxation requirements for the CA Kenya are adhered to including meeting Revenue Authority deadlines (corporation tax, sales tax, withholding tax, payroll etc)
Liaise with company secretary to ensure prompt filing of company documents and statutory returns as and when due
This role may be required to ensure taxation and legal compliance for Crown Agents Uganda Ltd

Office Operations

Ensure relevant insurance (WIBA, Personal Accident, medical, asset etc) is in place, manage regular payments and coordinate claims as the need arises
Manage membership to group pension scheme ensuring liaison with the fund and making timely payments of staff contributions
Oversee the management of office operations and ensure the smooth running of the office
Ensure all licenses, business permits are obtained and renewed within the legal requirements

Qualification

Minimum of a degree in Accounting, Finance or equivalent
Full professional qualifications in accounting CPAK, ACCA or similar.

MAIN JOB PURPOSE
Crown Agents is looking to recruit a Test Consultant to lead and facilitate testing on two key transformation programmes, driving strategic objective and business improvement for the whole organisation.
Finance System and Business Transformation programme include implementation of an upgraded version of Infor SUN and relaunching the business processes to deliver the most value... to the organisation. Another key piece of work is to replace the existing Time Recording and Expense Management system, a global corporate system which is used by permanent employees, project employees, agency staff and contractors. 
Both programmes are running in parallel and with the launch scheduled for July 2023, would have multiple dependencies which need to be identified and managed appropriately.
MAIN RESPONSIBILITIES OF JOB

Determine and advise the programmes on the overall testing approach, key inputs, dependencies and resource demands.
Lead and facilitate on the designing test plans, managing test execution, collating results and produce test outcome reports.
Work with the business team to define test cases to ensure it meets the business requirements for both technical and non-technical parts of the final solution.
Identifying and agreeing the effort required from the business and clearly defined success criteria with the end users.
Actively contribute to the project plan to ensure testing is completed within the required timelines.
