Position Summary:
The Coordinator, Sponsorships & Exhibits provides operational, logistical, and administrative support across sponsorship, exhibitor, and event logistics activities. This role serves as a shared resource between the Business Development and Meetings teams, ensuring sponsor and exhibitor commitments are accurately executed, consistently fulfilled, and delivered on... time across AGC meetings, conferences, and programs. The position plays a critical role in improving sponsor and exhibitor experience and supporting non-dues revenue growth.

Essential Responsibilities & Duties:
Sponsorship, Exhibit & Meetings Operations
- Manage the end-to-end operational execution of sponsorships and exhibits, including setup/onboarding, maintenance, and accuracy of listings across sales materials, event platforms, mobile apps, event guides, and Fonteva/Salesforce.
- Serve as the primary operational liaison for sponsors and exhibitors by communicating deadlines, deliverables, logistics requirements, and invoice status, and coordinating with internal teams and external vendors.
- Coordinate the collection, organization, and deployment of sponsor and exhibitor assets, including logos, advertisements, URLs, mobile app content, and signage specifications, in partnership with Marketing.
- Support exhibitor management and logistics, including booth assignments, floorplans, layout updates, and onsite needs, in collaboration with Business Development and Meetings staff.
- Provide direct operational support to the Meetings team for sponsorship and exhibitor logistics across conferences, meetings, and designated programs.
- Ensure sponsor and exhibitor commitments sold by Business Development are clearly documented, communicated, and accurately executed.
- Independently manage sponsorship, exhibit, and logistics coordination for designated management conferences and smaller events over time.


Sales and Marketing Support & Data Management
- Assist with sponsorship renewals, lead research, and tracking of prospective sponsors and exhibitors.
- Maintain and update Fonteva/Salesforce records related to sponsorships, exhibitors, and fulfillment tracking.
- Generate sponsorship, exhibitor, and fulfillment reports to support forecasting, pipeline visibility, and post-event analysis.
- Monitor key dates and milestones across multiple events to reduce risk and improve coordination.
- Work with the AGC Marketing team to provide additional support for marketing campaign logistics such as email deployment, landing pages and asset delivery.


Collaboration & Continuous Improvement
- Contribute to the development and documentation of sponsorship and exhibitor logistics processes and standard operating procedures.
- Identify opportunities to streamline workflows, improve data accuracy, and enhance sponsor and exhibitor experience.
- Support post-event debriefs and lessons learned to improve future execution.

Requirements
Qualifications, Experience & Competencies:
- Bachelor’s degree or equivalent professional experience in events management, marketing, business development, or a related field preferred.
- 2–4 years of experience supporting events, sponsorships, exhibits, or similar operational roles required.
- Strong organizational skills with the ability to manage multiple projects, deadlines, and stakeholders simultaneously.
- High attention to detail and commitment to accuracy and follow-through.
- Experience working with CRM systems, event management platforms, and Microsoft Office tools required. Fonteva/Salesforce Experience a plus.
- Strong written and verbal communication skills.
- Ability to work collaboratively across teams and adapt during peak event periods.


Work Environment & Expectations:
- Hybrid work schedule with a minimum of two (2) in-office days per week, with remaining days eligible for remote work based on business needs and event timelines.
- Primary work location is an office environment during standard business hours, with occasional schedule flexibility needed to support conference deadlines, launches, or time-sensitive marketing needs.
- Requires regular collaboration with internal teams and stakeholders through in-person meetings, email, phone, and video conferencing.
- Frequent use of a computer and digital platforms/tools for extended periods.
- May occasionally be required to lift and carry light materials (e.g., printed collateral, signage, event materials), generally up to 25 pounds.
- Travel will be required to support a variety of conferences and events, including occasional overnight and/or out-of-state travel based on event schedules and organizational needs.
